Exemption status: Non-Exempt – Full Time, 40 hours/week. This role may be for paid staff, volunteer, or supported staff.

Wycliffe Associates is a ministry, and our mission of Bible translation is a special calling. Wycliffe Associates trains Christians all over the world to become Bible translators and we seek to safeguard the integrity of the Scriptures through that process. While specific skills and experience are a major part of this role, what is most important to Wycliffe Associates, and to the Lord, is a person’s heart. The person who fills this role should have a special calling from the Lord for ministry. In this role you are considered a minister of the gospel. Position Summary:
Attend to the smooth, daily operation of the Orlando office and ensure that proper equipment and supplies are available. Provide a safe, clean and welcoming environment.
Job Responsibilities:
- Attend to the day-to-day activities of the front desk and man the front desk during business hours.
- Greet staff and guests and notify the appropriate person or department of guest’s arrival.
- Answer the phones and transfer the callers to the appropriate person.
- Ensure reception area is a clean, organized and welcoming environment.
- Process incoming and outgoing mail, packages, UPS and FedEx packages. Purchase stamps and submit charges to the Finance Office.
- Conduct regular inspections of the building to identify any maintenance or security issues and report them in a timely manner. Report any pest control issues to Center Services.
- Organize CPR and other safety training and ensure First Aid kits are well stocked, and up to date.
- Ensure correspondence/office documents are handled properly and updated in a timely manner.
- Coordinate set up and arrangement of conference rooms as requested by the user.
- Research and purchases office supplies, furnishings and services. Order printer marketing material.
- Create and distribute monthly calendar.
- Ensure all office machines are working and have necessary supplies. Coordinate repairs and services as needed.
- Oversee the ordering, pick up and distribution of concessions. Ensures FIFO stock rotation is being practiced and items have not expired. Regularly checks for price increases from vendor.
- Check on receipt and delivery of mail and maintain USPS accounts. Ensure that all Post Office fees are paid in a timely manner. Process stamped envelopes for refunds.
- Reserve apartments for WA board and winter volunteers.
- Maintain plants, furniture & decorations throughout building.
- Ensure that refrigerators are cleaned on a regular basis.
- Cross-train to administer volunteer orientation if needed.
- Coordinate with janitors to keep the over-all appearance of the WA building to an excellent standard. Purchase janitorial supplies when needed.
- Conduct tours of the WA building for visitors.
- Coordinate and schedule issuing of badges. Ensure badges are stored securely.
- Coordinate with the Facilities Manager and Program Manager as needed for events.
- Keep an accurate record of purchases and submit Expense Reports in a timely manner.
- Drive WA vehicles to pick up supplies and mail as needed.
- Assist WA staff with administrative tasks as needed to keep the office operating smoothly.
- Respond appropriately in emergency situations and notify the proper authorities.
- Perform other duties as assigned.

- Has a personal relationship with Jesus Christ.
- Should sense a call from God to ministry and demonstrate a genuine care for people.
- Have a clean license and ability to drive to get WA supplies.
- Ability to be at ease with people from diverse cultures and backgrounds.
- Highly self-motivated and directed.
- Keen attention to detail.
- Excellent listening and interpersonal skills.
- Ability and desire to learn new technologies, improve skills, and adapt to change.
- Ability to remain calm when dealing with difficult callers.
- Strong customer service orientation.
Education, prior work experience, and/or specialized skills and knowledge:
- Has a personal relationship with Jesus Christ
- 3-5 years experience helpful as a Front Desk Assistant.
- Operate by utilizing demonstrated organizational, written and verbal skills.
- Computer literate, possessing a working knowledge of administration and data processing programs, as well as a strong knowledge of Microsoft applications.
- Ability to work with minimal supervision.
- Conflict resolution, negotiation, creative thinking and problem-solving skills. The intellectual ability to handle these difficult tasks must be combined with a personal warmth and evident love of Christ.
